Give the sign-in sheet a next step

We help turn a clear photo into a checked visitor list, new contacts, and individual follow-up drafts.

Text it like this

Fictional example.

You: Read this sign-in sheet. Match people in my CRM, add only new people, and draft today’s replies.
Queva: Jordan matches an existing contact. Casey is new. One phone number is unclear and needs checking. Draft for Jordan: Thanks for visiting 18 Pine today. Would you like the floor plan you asked about?

Start with a readable photo

Take the photo straight on with the whole sheet visible. Include the event address and date, plus any visitor questions recorded at the open house. We read the names and contact details into a list for checking. If handwriting is unclear, Queva should flag the entry rather than guess a digit or email address.

Check the extracted list against the photo before any CRM changes. A cropped line or a shared phone number can make two people look like one. Keep uncertain entries aside until you can verify them. Use your brokerage’s process for handling and retaining sign-in sheets and contact details.

Match people before creating contacts

We search the connected CRM using the readable email addresses and phone numbers. A name alone is not enough to settle a match. Existing contacts stay on their existing records. Only people with no matching record are candidates for a new contact.

Compare repeated entries within the sheet as well. If a phone and email point to different records, stop that entry for review. When you rerun the same sheet, search again before creating anything. We need a working CRM connection with search and contact-creation access to carry out these steps.

Prepare same-day replies from the visit

Use the visitor’s actual question to shape the draft. Someone who asked for dimensions needs the verified measurements or a note that you are checking them. Someone who requested another visit needs the available showing times. We do not infer preferences from a person’s appearance or name.

Signing in does not automatically grant permission for follow-up texts. Check the permission recorded for that person and follow the brokerage’s messaging process. We can prepare the same-day draft while a missing detail is checked. Record the visit and next task on the matched contact where those actions are configured.

For a connected CRM example, see the Lofty guide. We test contact matching and creation during setup before using a full event sheet.
